Financial Planning Executive Assistant
This position requires preparing all necessary support documents and reports for client meetings, performing follow-up as required, and updating client records for our CRM system. This job also requires the ability to quickly develop an understanding of the interface among the various industry related software programs used by the office.
The responsibilities include support of the financial planning process while ensuring customer accounts are compliant with both industry regulations and company policies. These functions require managing, gathering and analyzing client data while preparing preliminary financial plans.
Additional duties as assigned.
We require significant departmental cross training, the ability to multi-task, and a “do whatever it takes” mindset.
Client Deliverable Support
Under the direct supervision of Branch Operations Manager, prepare all client account support documents including appropriate applications, forms, consolidated statements, client deliverables, etc., ensuring Advisers are adequately prepared for client meetings.
Ensure documents and reports are prepared accurately and completely for all client meetings and client requests.
As directed, process all client requests outside of regularly scheduled meetings.
Client Relationship Management
Demonstrate an ability to systematically gather and enter data in a manner that will accommodate retrieval, accountability and reconciliation of data.
Ensure Client Relationship Management systems remain current by confirming all tasks, meetings and notes related to the client relationship are accurately captured.
Experience and Education
A Bachelor's degree and/or equivalent related work experience is required.
Must have 1-3 years working in an Administrative role.
General knowledge of financial planning industry to include investments, insurance, tax and estate planning.
Paraplanner Designation a plus

Candidate must demonstrate strong attention to detail as well as the ability to consistently follow up to ensure tasks are completed properly.
Candidate should possess excellent time management, strong organizational skills, ability to prioritize multiple tasks and anticipate potential problems.
Must have the ability to work both autonomously and within a team environment.
Candidate should have a high level of proficiency in Microsoft Office (Word, Excel, Outlook).
Candidate must have the ability to work efficiently, effectively and independently to see projects through to conclusion.
Candidate must demonstrate analytical ability, good judgment, problem solving, responsibility, personal integrity, and is able to deal with confidential information on a daily basis.
